Position Summary
The Community Art Space & Donation Center Operations Manager oversees donation intake, material processing, studio rentals, and creative space at 1015 Kerr Ave, Unit C, Wilmington, NC. Reports to Executive Director.
The Manager plays a central role in advancing creative reuse by directing materials from donation to purposeful use—supporting workshops, studio artists, and inventory needs at the retail location (4410 Wrightsville Ave). This position also leads volunteer engagement, maintains efficient systems for sorting and storage, and helps create a vibrant, accessible environment that fosters creativity, sustainability, and
community connection.
Approximately 30 hrs/wk starting 30 minutes before the facility opens to the public and up to 30 minutes after closing. Core operating hours are Monday, Thursday, Friday: 2:00 PM – 8:00 PM; Saturday: 12:00 PM – 6:00 PM; Sunday: 12:00 PM – 4:00 PM.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Donation Intake & Material Flow
- Oversee donation drop-off operations and donor experience
- Evaluate, sort, and process incoming materials
- Establish and maintain donation and pricing guidelines
- Direct materials to appropriate channels (retail, programs, storage, recycling)
- Coordinate product flow and pricing strategies with Retail Operations to ensure strong inventory flow
Community Art Space Operations
- Manage daily operations of Community Art Space
- Coordinate scheduling for workshops, rentals, and events
- Set up and reset spaces for classes and programs
- Ensure spaces are clean, safe, organized, and well-stocked
Program & Material Integration
- Align donated materials with program needs (retail, open studio, classes, workshops)
- Communicate supply needs
- Support instructors and artists with materials and space preparation
Volunteer Coordination
- Train and supervise volunteers for both sorting and program support
- Create clear workflows for donation processing and space support
- Foster a welcoming and inclusive volunteer environment
Community Engagement
- Serve as a primary point of contact for donors, participants, and visitors
- Educate the public about creative reuse and donation guidelines
- Support events and outreach activities
Operations & Safety
- Maintain organized storage and sorting systems
- Ensure compliance with safety, cleanliness, and insurance requirements
- Manage supplies and equipment for both donation processing and programs
Tracking & Reporting
- Track donation volume and impact (e.g., pounds diverted)
- Monitor program usage and material needs
- Provide data to support grants, reporting, and planning
Qualifications
- Experience in operations, arts administration, nonprofit work, or similar
- Strong organizational and multitasking skills
- Comfortable managing both physical materials and active program spaces
- Experience working with volunteers preferred
- Excellent communication and problem-solving skills
- Passion for arts, sustainability, and community engagement
Physical & Schedule Requirements
- Ability to lift and move materials (25–50 lbs)
- Comfortable being on your feet for extended periods
- Flexible schedule, including evenings and weekends as needed
- Valid driver’s license
- Ability to travel frequently between program sites
- Other duties as assigned
